Time & Material Tags (aka tickets, EWAs, FWOs, etc.) are synonymous with headaches in the commercial construction industry. Written by hand out in the field, they are painful to create and track and often more painful to receive. Here are the 7 biggest challenges tracking field-directed extra work using paper Time & Material Tags.

1. Handwritten tags are hard to read

This sounds obvious, but how many times have you stared at a T&M Tag, trying to decipher what it says? Contractors fill out hand-written paper Time & Material Tags to document labor, material and equipment, often in a hurry and in the field, making the Tags hard to read. This often results in processing delays when office staff have to go back and clarify the information. Even worse, Tags can be flat out rejected for being illegible.

2. No photo documentation

Photos are worth a thousand words and make it simple for customers to understand the work your T&M Tag represents. But how do you attach a photo to a piece of paper? First, you have to scan the handwritten tag, dig through your phone for photos, draft an email, attach the photos and explain what’s in each one.Who has time for that? If photo documentation isn’t included, your T&M Tag has a greater chance of being rejected.

Instead, the GC project team is relying on the Subcontractor to professionally document their T&M work, quickly process an associated Change Order Request and present the costs to the General Contractor. If a General Contractor is tracking two weeks of overtime work, they are likely not going to know the true cost exposure until after the work is completed.
